How to Move an Applicant to a Different Property

You’ve approved an applicant for a property; what do you do with the rest of the applicants?

You’ve approved an Applicant for your property and finalized all the documentation for them to move in shortly - now what to do with the other applicants who were interested in this property?

 

You have two main options here:

  • Invite them to move their application to another available property
  • Close the application

Best Practices

  • Send a Bulk Email to the rest of the applicants to let them know that the property has been rented.
  • If not interested in another property, close the applications and then archive them.

How to Move an Application to a Different Property

Once an applicant has confirmed that they want to apply to a different property, updating their application is fairly straightforward.

  1. Open the application.
  1. Click Change Location.

  1. Search for a property - ensure that you’re selecting the unit.

The application is now moved to the new location.

If the applicant doesn’t know which property they want to be moved to, but they want to remain active, you can change the location to Generic Location (if enabled in Screening Management Settings > Board Settings. See: How to Enable a Generic Location).

How to Close an Application

There are few situations when you’d want to close an application:

  • Property is no longer available.
  • Applicant is no longer interested.
  • Application has been denied, applicant notified.

Closing is different than archiving. We recommend closing an application first and then archiving.

  1. Open the application.
  1. In the household view, click close.
  1. Add any notes and click close application.

It will now moved to a closed status.

How to Archive Applications

You can manually archive applications in two ways.

Individually

Click the 3 dots to expose the “More” Menu. Select Archive.

Bulk Archive

  1. Select one or more applications.
  1. Click the archive icon and confirm.

How to Set Up an Archive Automation for Closed Applications

Setting up an archive automation can remove your closed applications for you so you don’t have to think about them.

  1. Set the trigger to Custom Condition.
  1. Select:
      • Field - Status
      • Criteria - Any In
      • Value - Closed

  1. Select the action: Archive Cards & Conversations.
  1. Set the timing (When): Select when you want the applications to archive. How long do you keep them active?
