Use folders to organize conversations and find them later. This guide covers showing folders in the navigation, creating folders, and moving conversations. You can also use Inbox Rules to organize incoming emails.
How to View Folders
Inbox folders are not automatically enabled when you sync your inbox. Another way that Aptly lets you customize your workspace. To view any folders synced from your email provider:
- In the inbox, expand the inbox to view folders.
- Click the More Menu.
- Toggle on any folders, contact types, or topics that you want visible in the inboxes menu.
How to Add New Folders
You can add a folder in your email provider or from Aptly. If you add it in your email provider, allow time for the folder to sync before looking for it in Aptly.
• In Outlook, you can create a new folder.
Add a New Folder in Aptly
- Open an email that you wish to put in a new folder.
- In the top right of the email, click on the More menu (3 vertical dots) > Move to.
- At the bottom of the folder list, select + Add folder. Enter the folder’s Name and select Save. Then select the folder when moving the email.
View the New Folder in the Inboxes Menu
Use the visibility toggles shown in How to View Folders above.
- Click on the More Menu (3 horizontal dots … ).
- Find the new folder at the bottom of the list and toggle it on. You’ll see the new folder at the bottom of your folders list.
How to Customize the MINE View
The Mine view includes Assigned to me, Following, Snoozed, Reminders, and Flagged. Use these views to return to conversations that need your attention. For the current navigation, see Using the Mine View. Within your personal inbox, you can show and hide folders, topics, and contact types.
Similar to showing the newly added folder (see above), you can toggle on/off folders, topics, and contact types for a quick filter. Any folders toggled on/off will be placed in a default order that cannot be changed.
You can add a folder, topic, or contact type to your favorites to get a personalized selection of folders.
- First, open More beneath the inbox and toggle on the folder so it appears in the leftmost navigation pane (pane 1). Then hover over that folder and click its three-dot menu.
- Then, select Add to Favorites. The Favorites tab will appear at the very top of the Inboxes Menu.
How to Hide and Delete Folders
To hide a folder from your Inbox navigation, open More at the bottom of the folder list and turn off that folder’s visibility. Use the same toggles shown in How to View Folders above.
Manage folder or label deletion in your email provider. In Gmail, folders are called labels. Review your provider’s confirmation before deleting anything; hiding a folder in Aptly’s navigation is a separate action.
How to Move Existing Conversations to Folders
You now have all folders imported from your email provider and any folders created within Aptly. You can move existing emails into these folders easily.
- Click on a conversation from your Inbox.
- Click the vertical three dots for “More actions” in the upper right corner of the message and select Move to.
- Select an existing folder or create a new one.
