Integrating Aptly with Zapier

Use Zapier to complete zaps using Aptly data.

Zapier is a web-based automation tool that allows you to connect Aptly with other apps and automate workflows. With Zapier integration, you can easily create zaps that use Aptly data as well as insert data into Aptly.


Zapier Functionality

Zapier makes it easy to automate tasks by connecting Aptly with other apps using Zaps. Each Zap has a trigger and an action — when something happens in one app, Zapier automatically performs a task in another. For example, you can set up a Zap to create a new card in Aptly whenever you get a new Instagram lead.

Zapier supports popular apps like Google Sheets, Slack, and Trello. You can even build custom integrations if the app has an API. Just keep in mind that Zaps are limited to the events each app provides. For example, with RentCheck, only the events below can trigger a Zap in Aptly.

How to Integrate Zapier with Aptly

Get Invited to Use Aptly with Zapier

Before starting Zapier, you’ll need to click the invite link below to get access to Aptly.

Enable Zaps for the Board

Once you’ve connected to Aptly using the invite link, you’ll need to toggle ON the Zapier integration in Aptly for the board that will be receiving Zaps or triggering Zaps.

  1. Click on Card Sources in the Board Settings Menu on the left.
  1. Scroll down to the bottom and click on Zapier.
  1. Click on the toggle so it appears in the green ON position. A unique Zapier User Authentication Token will appear in the box.

Each user will have their own Zapier User Authentication Token. This user will need to be the same user who logs into Aptly via the Zapier Zap setup. User permissions in Aptly will apply to Zapier. They will only be able to set up Zaps for boards that have Zapier toggled on and to which they have access.

How to Set Up a Zap

Zaps that Add or Update in Aptly

  1. Log in to your Zapier account and click the + Create Zap button.

  1. Choose a trigger app and select the trigger event you want to use.

      Think of a trigger as though it’s the button you push on the garage door opener to open the garage. The push is the trigger that causes the action of opening the garage door. What’s going to make that action happen?

  1. Connect your trigger account.
  1. Configure the trigger settings and test the trigger.
  1. For action, you’ll select Aptly.

  1. Connect your Aptly account and select the action settings.
      • You’ll have all of the card fields available.
      • You can select data from the Trigger app and decide where you want that information to appear in Aptly Card Fields.
  1. Test the zap to make sure it's working correctly. Validate that the information from the trigger app is correctly showing in Aptly.
  1. Turn on the zap to start automating your workflow.

Alternatively, you can export information in Aptly to an outside app like Google Sheets. Set Aptly as the trigger and select from the list of options.
