Getting Started with Aptly Tours

Use Aptly Tours to seamlessly schedule showings for your properties.

Remember that cabinet you have (you know the one with all the keys on a pegboard) in the back of your office that you have to rifle through in order to find a property’s set of keys whenever you want to show the property, allow a vendor into the home, or change the locks? Aptly Tours can replace your key cabinet by remotely sharing access to a property without the use of physical keys.


How Does It Work?

Accept showings for a property after the prospect has been screened through ID Verification. Prospects will request a showing and through that process, they will verify their identify and submit a request. PMCs have the option to approve or deny and then schedule manually or have the option to auto-approve prospects.

Prepare to Enable Aptly Tours

Before you can start to use Aptly Tours, you’ll need:


How to Set Up Aptly Tours

On your lead board, you’ll find all the settings for Aptly Tours under Advanced Settings.

  1. Locate the Showings tab and toggle ON Showings.
  1. Enable/disable auto-approve tour applications.
      • Select any or all conditions in order to automatically approve a prospect to schedule a tour.
        • Payment - Name on form of payment & applicant name should match
        • Payment - Zipcode on form of payment should match applicant address
        • ID - Name on id & applicant should match
        • ID - Matched contact in the system must not have a contact alert
        • Qualifications - All questions should be answered as a 'No'
        • Auto-id verification, Signature, Consent, & Payment checks should always be on
  1. Select your target locations. You have 3 options:
      • Showings from All Locations - all locations are available to schedule a tour
      • Showings from Locations within a Filter - create a filter on any locations board and use it to schedule showings
      • Showings from Selected Locations - use the search bar to select individual properties
  1. Select how you want cards to be grouped. You have 3 options:
      • Merge Showings onto a Card with an existing contact
      • Merge Showings onto a card with an existing contact and location
      • Do not merge, create a new card for every showing
  1. Select the stage that you want cards to move to when a new showing is requested.
  1. General Locations - offer prospects the option to request a tour if they don’t know what property they want (great for multi-unit locations)
  1. Click save! Two additional tabs will appear under Showings - Qualification Questions and Approval & Conditions.

How to Set Up Qualification Questions

Use qualification questions to pre-screen prospects before they schedule a tour.

  • Where did they find the property?
    • Toggle On to request this information from the prospect.
    • Add options for them to select from. Hit enter after each option to add to the list.
  • Will you require a certain income in order to tour a property?
    • Multiplier of rent - ex: income must be 1.5x higher than rent
    • Specific amount
  • Showing Qualification Questions
    • Click + Add Question to add any questions that you want the prospect to answer as they are requesting a tour.
    • These questions will be flagged if the prospect answers yes. For example: Do you have a waterbed? If they mark yes, they will not be auto-approved.

Don’t forget to click save!


How to Set Up Approval & Conditions

  • Charge showing requestors
    • Charge a fee to prospects requesting a tour. Stripe will charge you a fee of 2.9% of the charge + $0.30.
  • ID Verification
    • You can enable ID Verification as a condition to touring a property. It will check the prospect’s ID against a live selfie to verify the prospect is not a fraud. This check will transfer over to their application so they won’t have to complete it again.
    • You can also require ID verification in order to tour a property.
  • Communication Templates can be selected to share specific details with the prospect.
